AYA Grant Summary

AYA raises funds to support educational enrichment projects/programs in areas such as Music, Performing Arts, Arts and Culture, Literacy, Science, Math, Technology, and Recreation & Sports. We support opportunities for student success by providing funds for field trips, classroom projects, enrichment activities and other creative approaches that support student learning. Grants are available to teachers to support and benefit students.

Applicants are encouraged to collaborate when submitting an application. AYA does not expect to fully fund proposed activities and all forms of revenues and donations toward projects are considered when applications are evaluated. Both the applicant(s) and their principal are notified of our funding decisions.

A Grant Report must be submitted to the foundation upon completion of all projects (including field trips). Teachers are not eligible for future funding if a report has not been submitted. Report Guidelines are provided by the foundation.

AYA Grant Application Review Information

There is only one (1) cycle for accepting grant applications during the school year. The foundation’s goal is to award at least one grant per school. Applicants can only receive one award per school year.

Evaluation Criteria

The following evaluation criteria and weights will be used by reviewers to form recommendations:

  • Program/Project Narrative (45 points total)
  • Student Impact – How students will benefit alignment with Common Core Standards (25 points total)
  • Evaluation – How goals will be measured and what will be done with the results (20 points total)
    • General information (5 points)
    • Description of the program/project and activities (20 points)
    • Goals, objectives and outcomes (20 points)
  • Ability to complete the project’s proposed goals judged by the reasonableness of the work plan and budget, including cost sharing and leverage. (10 Points Total)

A rubric is used to rate the applications. Applications must receive a minimum of 80 points total to be considered for funding. Click here for a copy of the rating rubric.

Application Review Process

Review Panel

The review panel consists of the AYA Board and at least one (1) Peer reviewer (volunteer teacher). The panel members receive blind copies of the proposal narrative of each grant submitted. Proposals are reviewed on the appropriateness of the project in meeting the foundation’s mission and vision, completeness, conformity to application requirements and overall eligibility. Reviewers rate the proposals using a rubric based on the evaluation criteria, including their own comments regarding the proposals. Each reviewer makes funding recommendations to the foundation Board based upon their reviews.

AYA Board Members

AYA board members receive summaries of the ratings, comments and recommendations of each proposal submitted. AYA Board members deliberate on the proposal recommendations and make funding decisions. Throughout this process, all members of the Board and volunteer reviewers follow conflict-of-interest rules to assure fair and equal treatment of every application.

Grants are contingent upon available funds. Grant applicants are notified within 2 weeks of the foundation’s decision, per the posted application schedule. A contract is required with all awards, with applicable terms and conditions.
